Reinfera provides AI-assisted workflow and operations software for service businesses. This Privacy Policy explains how Reinfera (“Reinfera,” “we,” “us,” or “our”) collects, uses, stores, shares, and protects information when you visit reinfera.com, create or use a Reinfera account, connect third-party services, communicate with us, or otherwise use our websites, applications, workflows, and related services collectively referred to as the “Services.”
By using the Services, you acknowledge the practices described in this Privacy Policy.
1. Scope of This Privacy Policy
This Privacy Policy applies to information that Reinfera processes through:
- The Reinfera website and public pages
- Reinfera accounts and authenticated product experiences
- Connected Google Workspace services
- Workflow configuration and execution
- Reinfera-generated analyses, summaries, recommendations, artifacts, and drafts
- Customer support, demonstrations, pilots, and communications
- Other services that link to this Privacy Policy
This Privacy Policy does not govern the privacy practices of third-party services that you connect to Reinfera. Those services are governed by their own privacy policies and terms.
2. Information We Collect
The information we collect depends on how you interact with Reinfera and which features you choose to use.
A. Account and Business Information
We may collect:
- Your name
- Business name
- Email address
- Telephone number, when provided
- Job title or business role
- Login and account identifiers
- Business type, size, location, and operational needs
- Subscription, billing, and transaction information
- Communications and support requests
- Preferences and product settings
B. Information From Connected Services
When you authorize Reinfera to connect to Google Workspace or another supported service, we may access information permitted by the authorization scopes you approve.
Depending on the features you enable, this may include:
- Google account identity information
- Google Sheets files, worksheets, ranges, columns, values, and metadata
- Google Drive files and file metadata
- Documents or other files that you intentionally select or authorize
- File identifiers, versions, modification information, and source status
- Gmail messages, drafts, metadata, or related information, but only when a Gmail-enabled feature is offered, expressly authorized by you, and necessary to provide that feature
- Information from other supported business systems that you intentionally connect
Reinfera does not receive your Google password. Google manages the authorization process and provides Reinfera with authorization tokens that allow access consistent with the permissions you approve.
We seek to request only the permissions reasonably necessary to provide the feature you select.
C. Customer Content and Operational Data
You or your organization may provide or authorize access to operational information such as:
- Customer or prospect records
- Names and contact information
- Payment status and invoice information
- Attendance or participation records
- Enrollment and signup information
- Service, class, appointment, or event information
- Customer communications and notes
- Operational tasks, deadlines, and status information
- Spreadsheet entries and business records
- Instructions, templates, policies, and workflow rules
We refer to information submitted by or processed on behalf of a Reinfera customer as “Customer Content.”
Customers determine which Customer Content is submitted to or made accessible through Reinfera. Customers are responsible for ensuring that they have the necessary rights, notices, permissions, and legal bases to provide that information to Reinfera.
D. Workflow and Product-Usage Information
We may collect information generated through use of the Services, including:
- Connected-source identifiers
- Source mappings and configuration settings
- Workflow selections
- Source versions, hashes, and freshness information
- Dates and times of workflow runs
- Run status and error information
- Workflow lineage and processing records
- Review, approval, rejection, and editing activity
- Generated summaries, recommendations, artifacts, and drafts
- Feature usage and interaction information
- Audit and security logs
Where practical, Reinfera stores references, configuration information, and workflow metadata rather than duplicating entire customer systems of record.
E. Website and Device Information
When you visit or use the Services, we may automatically collect:
- Internet Protocol address
- Browser type and version
- Device and operating-system information
- Pages viewed
- Referring pages
- Date and time of access
- Session and diagnostic information
- Cookie and similar-technology data
- Performance, security, and error information
3. How We Use Information
We may use information to:
- Provide, operate, maintain, and improve the Services
- Authenticate users and administer accounts
- Connect to sources that a customer authorizes
- Read and process selected business data
- Configure and execute workflows
- Identify records, conditions, or tasks requiring attention
- Generate summaries, recommendations, analyses, artifacts, and drafts
- Present items for customer review and approval
- Maintain source freshness, lineage, and audit information
- Provide customer support and respond to requests
- Personalize product configuration and vertical terminology
- Process payments and administer subscriptions
- Protect the security and integrity of the Services
- Detect, investigate, and prevent fraud, abuse, and unauthorized access
- Monitor reliability and troubleshoot errors
- Comply with legal obligations
- Enforce our agreements
- Communicate about product, security, administrative, or policy matters
- Send marketing communications where permitted by law and subject to available opt-out rights
We do not use Customer Content to advertise to a customer's clients, students, members, prospects, or other individuals.
4. Google User Data
Reinfera's access to and use of information received from Google APIs is subject to the Google API Services User Data Policy, including its Limited Use requirements.
Reinfera uses Google user data only to provide or improve user-facing features that the user requests and authorizes. Depending on the selected workflow, this may include:
- Locating an authorized file
- Reading approved spreadsheet or document content
- Mapping source fields to a workflow
- Detecting changes to an authorized source
- Analyzing operational records
- Generating workflow results, recommendations, or drafts
- Displaying source context and processing history
- Preparing an action for the user to review
Reinfera does not:
- Sell Google user data
- Use Google user data for targeted advertising
- Transfer Google user data to advertising platforms or data brokers
- Use Google user data to determine creditworthiness or for lending decisions
- Access Google user data for purposes unrelated to the functionality authorized by the user
- Permit humans to read Google user data except when necessary to provide support requested by the user, investigate security or abuse, comply with law, or perform another activity permitted under Google's applicable policies
- Use Google user data to train generalized or shared artificial-intelligence models
Any use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. Artificial Intelligence and Automated Processing
Reinfera uses artificial-intelligence and automated-processing technologies to help analyze authorized business information and prepare workflow outputs.
Depending on the workflow, these outputs may include:
- Prioritized records
- Summaries
- Suggested next steps
- Draft communications
- Operational checklists
- Alerts
- Recommendations
- Review items
- Supporting artifacts
AI-generated outputs may be incomplete or incorrect. Customers are responsible for reviewing outputs and deciding whether and how to use them.
Unless a specific feature clearly states otherwise, Reinfera is designed around owner or authorized-user review before consequential external action is taken. The availability of automated actions may differ by product feature and workflow. Where an automated action is supported, it must be expressly enabled and configured by an authorized customer user.
Reinfera does not use Customer Content or Google user data to train generalized models made available to other customers or to the public.
We may use de-identified or aggregated technical information that does not identify a customer or individual to improve performance, reliability, security, and product functionality.
6. Systems of Record and Reinfera-Stored Data
A customer's connected business system, such as Google Sheets or Google Drive, generally remains the customer's system of record.
Depending on the applicable feature, Reinfera may store:
- Account and authorization information
- OAuth token references or encrypted authorization credentials
- Connected file identifiers
- Worksheet, range, and column mappings
- Configuration and workflow settings
- Source versions and hashes
- Processing timestamps
- Workflow-run identifiers
- Source-to-output lineage information
- Generated workflow results
- Drafts and artifacts
- Approval and review status
- Audit, diagnostic, and security information
The precise information stored depends on the workflow and product configuration.
7. How We Share Information
We may disclose information in the following circumstances.
A. Service Providers
We may share information with vendors that help us provide the Services, such as providers of:
- Cloud hosting and storage
- Authentication
- Database and infrastructure services
- Artificial-intelligence processing
- Monitoring and error reporting
- Customer support
- Communications
- Payment processing
- Security
- Analytics
These providers may process information only as needed to perform services for Reinfera and subject to contractual or other applicable confidentiality and data-protection obligations.
B. At the Customer's Direction
We may share information when a customer instructs us to do so, enables an integration, approves an action, or otherwise directs information to another service or recipient.
C. Legal and Safety Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with applicable law, regulation, legal process, or government request
- Protect the rights, safety, and property of Reinfera, our users, or others
- Investigate fraud, abuse, security incidents, or unlawful activity
- Enforce our agreements and policies
- Establish, exercise, or defend legal claims
D. Business Transactions
If Reinfera is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, information may be disclosed as part of that transaction, subject to applicable law and appropriate protections.
Where Google user data is involved, any transfer will also be handled in accordance with Google's applicable requirements.
E. With Consent
We may share information for another purpose when you provide consent.
8. Sale and Sharing of Personal Information
Reinfera does not sell personal information for money.
Reinfera does not sell Google user data or Customer Content.
Reinfera does not share personal information for cross-context behavioral advertising.
If our practices change in a way that creates additional rights under applicable privacy law, we will update this Privacy Policy and provide any legally required notices or choices before applying the changed practice.
9. Data Retention
We retain information only for as long as reasonably necessary to:
- Provide the Services
- Maintain customer accounts and configurations
- Fulfill the purposes described in this Privacy Policy
- Comply with legal, accounting, and contractual obligations
- Resolve disputes
- Protect security
- Enforce agreements
Retention periods vary according to the type of information, the customer's configuration, the duration of the customer relationship, legal requirements, and operational needs.
When an account or connection is terminated, we may delete or de-identify associated information after a reasonable period, except where continued retention is required by law, necessary for security or dispute resolution, or requested by the customer.
Backup copies may remain for a limited period until they are overwritten through ordinary backup cycles.
10. Removing Connections and Requesting Deletion
You may stop Reinfera's future access to a connected Google account by:
- Disconnecting the applicable connection within Reinfera, where that option is available
- Revoking Reinfera's access through your Google Account security and third-party connection settings
- Contacting us at privacy@reinfera.com
Revoking access prevents future access through the revoked authorization but may not automatically delete information previously processed or stored by Reinfera.
To request deletion of your Reinfera account or associated stored information, contact privacy@reinfera.com. We may need to verify your identity and authority before completing the request.
When a business customer controls the relevant Customer Content, individuals associated with that customer should ordinarily submit requests directly to the business. We will assist the business as reasonably necessary in responding to verified requests.
11. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
These measures may include:
- Encryption in transit
- Encryption at rest where appropriate
- Access controls
- Authentication and authorization protections
- Tenant and account separation
- Logging and monitoring
- Secure development practices
- Limited employee and contractor access
- Incident-detection and response procedures
- Vendor review and contractual protections
No system is completely secure, and we cannot guarantee that information will never be accessed, used, or disclosed without authorization.
You are responsible for maintaining the confidentiality of your credentials and promptly notifying us if you suspect unauthorized access to your account.
12. Customer Responsibilities
Business customers are responsible for:
- Determining what Customer Content is connected or submitted
- Configuring access appropriately
- Providing legally required privacy notices
- Obtaining necessary permissions and consents
- Responding to privacy requests from their own customers, employees, students, members, or other individuals
- Reviewing Reinfera-generated outputs
- Ensuring that use of the Services complies with applicable laws and contractual obligations
- Avoiding the submission of information that the customer is not authorized to process
Reinfera generally processes Customer Content on behalf of the business customer that controls the relevant account and workflow.
13. Information Concerning Children
The Services are offered to businesses and authorized adult users. They are not directed to children under 13, and children under 13 may not create Reinfera accounts.
Some Reinfera business customers, including studios, tutoring businesses, or other service providers, may maintain records relating to children or families in their own business systems. In those circumstances, the business customer controls the information and is responsible for obtaining any legally required parental consent and complying with applicable child-privacy laws.
Reinfera processes such information only to provide Services to the business customer and does not knowingly use it for behavioral advertising.
If you believe a child has provided personal information directly to Reinfera without appropriate authorization, contact privacy@reinfera.com.
14. Cookies and Similar Technologies
We may use cookies, local storage, pixels, and similar technologies to:
- Keep users signed in
- Maintain account security
- Remember settings
- Understand product usage
- Diagnose errors
- Improve website and product performance
- Measure the effectiveness of communications
Where required by law, we will request consent before using non-essential cookies.
You may control cookies through your browser settings. Disabling certain cookies may affect the operation of the Services.
15. Marketing Communications
We may send product updates, educational material, or marketing communications where permitted by law.
You may unsubscribe from marketing emails by using the unsubscribe link in the message or contacting us. You may continue to receive administrative, transactional, security, or account-related communications.

If your information is controlled by a Reinfera business customer, please direct your request to that customer first. Reinfera will assist the customer as required by applicable law and our agreement with the customer.
17. California Privacy Notice
California residents may have rights under the California Consumer Privacy Act, as amended, subject to applicable thresholds, definitions, and exceptions.
Depending on the circumstances, these rights may include:
- The right to know the categories and specific pieces of personal information collected
- The right to know the sources, purposes, and categories of recipients
- The right to request deletion
- The right to request correction
- The right to opt out of the sale or sharing of personal information
- The right to limit certain uses of sensitive personal information
- The right not to receive discriminatory treatment
Reinfera does not sell personal information and does not share personal information for cross-context behavioral advertising.

Where Reinfera processes information solely on behalf of a business customer, the business customer is generally responsible for responding to the individual's request.
18. International Data Transfers
Reinfera and its service providers may process information in the United States and other countries where they operate.
These countries may have data-protection laws that differ from those in your jurisdiction. Where required, we use appropriate safeguards for international data transfers.
19. Third-Party Services and Links
The Services may connect to or contain links to third-party services, including Google Workspace and other business systems.
Reinfera is not responsible for the privacy practices of third parties. We encourage you to review their privacy policies before authorizing a connection or providing information.
20. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in:
- Our Services
- Connected data sources
- Product functionality
- Legal obligations
- Security practices
- Data-processing practices
When we make changes, we will update the “Last Updated” date above. If changes materially affect how we use information, we will provide additional notice or request consent where required by law or applicable platform policy.
